Moving Office Spaces: Tips for a Seamless Business Relocation

Moving to a new office space is just as involved as moving to a new home. You’ve got big, bulky office furniture, electronics that require extra care, and multiple rooms worth of knick-knacks to get packed up. Usually, in office moves there’s not a whole lot of time to get it all done.

Find a new office location

Once you map out your moving plan the first thing you’ll need to do is find a new office location. Assuming your office isn’t a home-based business, it’ll be up to you and your HR department to work on finding a new space. If no one has experience locating a new office space, consider enlisting a real estate broker to help out. 

Consider location and ease for employees 

Before moving your business, make sure you consider all your business needs and the needs of your employees. Location can make or break a business depending on the type of business you run. You may also want to consider the needs of your employees. Is it easily accessible? Is there parking? Etc. 

Figure out your moving budget

Make sure your company is prepared to pay for all moving expenses and costs. This might include a moving company, moving supplies, and storage. Work out a budget with your company beforehand.  

Inform employees

Avoid surprising your employees with an office move. Let them know ahead of time that the company has begun its search for a new office space. Giving them a heads-up will make them feel a part of the process. 

Coordinate a plan for moving the tech equipment 

We recommend assembling a team of IT support to plan out the move ahead of time. This way, they’ll be able to plan for what to move, what to get rid of, and what to transfer over. Sometimes your new office space may even need more tech equipment so you’ll need to make sure these are ordered and scheduled for delivery once your lease begins. 

Give clients a heads-up about the move 

As you see/speak to clients, let them know about the upcoming move. That way, they won’t be confused or surprised when you make the move. Consider utilizing you’re social media to make the announcement. Or even emailing and phoning customers to let them know and include the date of the move along with the new address. 

Order new letterhead, business cards, and signage

Be sure to update your company’s letterhead, business cards, and other marketing materials that have the old address still listed. Having your old address still present could make your business look inept but also confuse customers. 

You may also need to order new signage prior to moving. Have a plan in place for how and when to install it. This can take several weeks to months to arrive, so you may want to order these items ahead of the move. 

Aside from all these logistics, you don’t want your employees to fall behind in their workflow. Any business preparing for a relocation wants the process to go smoothly without productivity taking a hit. 

Move on a weekend or after-hours 

Your business can’t operate as normal while you’re moving your items out of your old office and into the new one. It makes sense to schedule the physical move for a time when your employees or clients aren’t there. 

Set up your new office before moving 

Your workforce will benefit from any steps you take to set up the new office before you move in. Ensure you’ve got electricity, working phone lines, and internet access. Don’t forget to stock up on any pantry items either, everyone knows how coffee and treats are essential for workplace productivity.
